QUEST contains all the functions needed to meet day-to-day business
information management requirements:
Creation and maintenance of a records Classification System and Records
Retention and Disposition Schedules for consistent and accurate storage,
retrieval and disposition of records
Manage vital records
Identify freedom of information and protection of privacy requirements (FOIPP)
Create keywords for comprehensive search and retrieval
Determine where to file information according to the predetermined set of
Classifications
Create Files
Record the File Subject and other important information
Record and Track Physical File Folders within the File
Record and Track Electronic Records associated with the File
Record and Track important individual Physical Documents within a File
Folder
Record and Track other Physical items types associated with the Subject such
as maps, binders or video tapes
Create Keywords for comprehensive search and retrieval
Print File Folder labels and labels for information stored on other media
types (including printing label reports that can be used by colour label
packages such as Tab Quick to generate colour-coded labels)
Print File Inventory reports for distribution
Track the location of Files
Retrieve Files and/or the individual items within the files (file folders,
hard copy documents, electronic documents other media types)
Charge out the Files, folders, individual documents or other media for
tracking purposes (and charge them in, assign people to a waitlist and
transfer the information)
Assign a work flow process or bring forward actions to the Files and or the
individual items within a File
Automatically roll over or close Fiscal or Calendar Year files each year
Manage the life cycle of the File to determine when file folders, hard copy
documents and other media can be transferred to boxes and moved to offsite
storage and when the final disposition of the file and its components can
occur (including disposition of any electronic documents created for the
file)
Manage boxes of file folders, hard copy document and other media types for
designation of storage locations, identification of staff who have authority
to retrieve those boxes, tracking of the location of boxes when retrieved
from storage including tracking of individual file folders removed from the
boxes and life cycle management at the box level instead of individual file
folder within the box
- Use Bar Codes to speed up various processes such as boxing, and file
and box retrieval.
