The Electronic Document Management (EDMS) component in the QUEST Records
Management System enables you to manage your electronic documents the same way
you would manage your physical documents.
Whenever you create records, you must “Categorize” them under a predefined set
of Subjects. These predefined Subjects or “Classifications” are the cornerstone
of an effective records management system. They ensure that all your staff
consistently code information according to their subject matter and they provide
you with accurate storage and disposal instructions according to your legal and
business requirements.
All electronic documents (as well as physical documents) should also be
associated with a “File” which is a logical entity that is used to group and
organize information within your Classification hierarchy.
The QUEST EDMS component enables your staff to classify electronic documents by
invoking a QUEST Classify option. They can then enter in keywords or phrases to
describe the type of electronic document they’ve created and all Classifications
and/or Files in the QUEST system that meet that criteria will be displayed.
Users can scroll through the information and choose the Classification/File that
applies to their electronic document.
Users can then search and retrieve these documents quickly and easily by
invoking the QUEST Search Function. They can then enter in search criteria such
as; author of document, date of document creation, the Classification/File
assigned to document or individual words or phrases that might appear in the
body of the document. All documents that meet that criteria will be displayed
and the user can double click on a document to open the application it was
created in and view the document (and modify it if they have the correct
permissions). Also, when you view a file in QUEST, you can see all components of
that file whether they be physical, in file folders or boxes or multiple media
types or electronic.
AND the same retention and disposition is automatically applied to the
information whether it be physical or electronic.
The QUEST EDMS Component was also designed to facilitate consistent application
of security whether it be security on electronic documents or security on
physical documents.
By utilizing tools already available on most servers, and by adding simple
functions to your existing desktop applications, you get your staff to classify
and retrieve their documents without having to learn a brand new product!
